A returning student should understand that by entering into the Housing Agreement, they are liable for the room and board charges for the full academic year (August - May). No cancellations of the Housing Agreement will be accepted after the June 30, 2012 deadline. Therefore, a student should not sign any off-campus leases until they have written verification from the Office of Housing and Residence Life that the Housing Agreement has been cancelled. An enrolled student who fails to pick up a room key at the beginning of the fall semester does not release the student from the Housing Agreement.

The Office of Housing and Residence Life is excited to begin our returning student housing room selection for 2012-2013 beginning January 18. This guide will provide important information on changes to our buildings, the process you should follow to secure a room for 2012-2013, and provide a schedule of help sessions.

I. Changes to Housing Facilities
As you make housing plans, please be aware of the following changes:
 

  1. Housing and Residence Life will assume the operations of the Courtyard Apartments beginning July 1, 2012. Students living in Courtyard Apartments will reclaim their room through HMS and the remaining rooms will be open to all returning students through HMS.  All bedrooms in Courtyard Apartments are single rooms.
  1. Due to a major renovation plan next year in North Hall (installation of the boiler), North Hall will not be available for 2012-13.  Students currently living in North Hall will need to make a new assignment.  Remember, Cypress Hall and Oak Hall are available, and if you are interested in apartment living, we have the Village Apartments and the Courtyard Apartments.
  1. Pine Hall students residing in double rooms will need to make a new assignment for next year to allow the university to reserve bed space for new freshmen. As in previous years, the double rooms in Pine Hall are designated for new students.  Remember, Cypress Hall and Oak Hall are available, and if you are interested in apartment living, we have the Village Apartments and the Courtyard Apartments.

II. Room Selection Process

Overview
Room selection will proceed in stages. Before starting the room selection process you should discuss housing plans for 2012-13 with your current roommate. Your plans will determine in which stages you participate. Since you have already submitted a deposit, you will not need to do so again. You should use Odyssey HMS, accessible through Braveweb, for all stages of room selection. If you have questions and/or need assistance, staff is available during the following help sessions to assist with HMS and the room selection process:

Profile/Interest and Housing Agreement

Wednesday, January 18 (starting at 9am) - Tuesday, January 24 (ending at noon)

All current residents who want to return to on-campus housing must complete the Profile/Interest form and confirm the agreement. Students who do not complete the form will be unable to select a room until Open Room Selection which begins on February 15. During this time you will be able to make a specific roommate request. Roommates should request each other during this profile/interest period to allow your placement together. There will be no selection of suitemates for 2012-13.

If you are not sure about your plans, you should participate in this process. You can cancel by June 30, 2012, 11:59pm and get a full refund of your housing deposit. The deadline to complete, submit, or edit this form is Tuesday, January 24, 2012, at noon.  Remember, after this period, students who did not complete the profile/interest form and housing agreement will be unable to reclaim a room, select a roommate, or select a new room until Open Room Selection which begins on February 15.

After the profile/interest period, students will return to HMS to select a room during the schedule below.

Reclaiming Without a New Roommate
Wednesday, January 25 (starting at 9am) - Tuesday, January 31 (ending at 11:59pm)

You should participate if:
•           you live in a single and want to reclaim
•           both you and your current roommate plan to reclaim
•           you are reclaiming, your roommate is not reclaiming, and you have not identified a new roommate

Failure to reclaim your current assignment during the scheduled reclaiming periods forfeits any claim you have to this room.

Reclaiming with a New Roommate
Wednesday, February 1 (starting at 9am) - Tuesday, February 7 (ending at 11:59pm)
 
You should participate if you are reclaiming, your current roommate is not reclaiming, and during the profile period you and a new roommate mutually identified each other. The reclaimant is responsible for selecting the room in HMS. HMS will automatically assign the new roommate to the room. The new roommate will not need to participate at all in the room selection process after the profile period.

Roommate Pairing
Wednesday, February 8 (starting at 9am) - Tuesday, February 14 (ending at 11:59pm)

You should participate if you and a roommate have mutually selected each other and neither wants to reclaim. Only one of you will need to logon to HMS and select the room. HMS will automatically assign the other roommate to the room.

Open Room Selection and Reopening of Profile/Interest and Housing Agreement
Wednesday, February 15 (starting 9am) - Saturday, March 31 (ending 11:59pm)

Students that missed the first deadline or did not secure a room in a previous stage have the opportunity to complete the necessary forms and select a room from the remaining spaces. If you do not have a roommate and are interested in searching for one, please use the “find a roommate” link on HMS home page.

Students who selected a room in a previous stage, but now want to change rooms can do so.
If you change rooms, HMS will not move your roommate with you. Your roommate must also logon to HMS during Open Selection and change rooms. To assure you and your roommate remain together you may want to perform the room change operation at the same time.

Off-Campus Students

For students currently living off-campus, you must complete both of the following items before noon on Tuesday, January 24:
 

  1. Submit a deposit of $150. You may pay by credit/debit card, cash, or check at the office of Housing and Residence Life located on the second floor of the University Center Annex, Room 207.
  2.  Logon to HMS and complete a profile/interest form and application
