frequently asked questions - room reservation procedure
Question 1: I am currently residing in a double room in Oak Hall. I want to reclaim in Oak but my roommate wants to go to the Village Apartments. Can I select a roommate and bring them with me during the reclaiming process?
We encourage you to self select your roommate; therefore, you MAY bring in a roommate during this time. Double room reclaim in Oak Hall is from Thursday, March 12-Wednesday, March 18. The day and time will be announced/posted by your Resident Administrator. Remember, your new roommate must attend at the time you reclaim.
Question 2: Space is becoming available in the other room in my suite/apartment. Can I bring in additional roommates/suitemates during the reclaiming process?
You should confirm with your suitemates that they are all not reclaiming. If they are not reclaiming, you may include new roommates/suitemates when you reclaim.
Question 3: I am expecting to change residence halls next year through the lottery; can I hold a space for a new incoming student as my roommate?
First, new freshmen not in the Honors Program or Teaching Fellows Program can not reside in Oak Hall. We suggest you officially confirm your roommate during your selection. No matter which facility you choose, a vacant space can be selected by a current student during the lottery process. This person could be someone you are unfamiliar. Although not guaranteed, you do have a better chance that a returning student will not take that space in Belk, North, West or Wellons.
Question 4: I have a friend who is expecting to reclaim their assignment and wants me to be their roommate. What do I do?
If both current roommates want to retain the room, they must first determine who is staying and reclaiming. If your friend is the one reclaiming, you must be present when they reclaim. The day and time you need to be present will be announced/posted by your Resident Administrator. If your friend is not the one reclaiming, and you still want to be roommates, you both should participate in the lottery.
Question 5: I am requesting a change in my assignment for next year by going through the lottery. Can I identify a specific roommate and bring them with me when I select my assignment.
You are encouraged to self select your roommate; therefore, you may bring in a roommate during this time. If you are requesting Oak Hall or Village Apartments and if space is available in the entire suite/apartment, you may include additional suitemates.
Remember, roommates using the lottery can participate using the lowest number and the highest classification between them.
Question 6: I am participating in a Living and Learning Program and will be residing in Oak Hall. How do I select my assignment?
The department has spoken to the Directors of the Honors Program and the Teaching Fellows Program and areas have been reserved for these programs. During the reclaiming period, you will have an opportunity to finalize your assignment. You should begin determining now with whom you want to reside before you attend the reclaiming meeting. If you cannot attend during the scheduled time, you should select a proxy.
Question 7: What is a Proxy?
A proxy is a person identified by a signed, written note stating that you cannot attend the scheduled day and times to select your assignment. This person must present the signed copy before requesting an assignment on your behalf. Remember, if the proxy is not present or late at the designated time, your name will be placed at the end of the selection process or on a housing waiting list.
Question 8: My parents received a letter in the mail that stated financial aid could be used at Courtyards. Is that true?
Our office has not mailed information to parents concerning financial arrangements at the Courtyards. An apartment off-campus, such as Courtyards, Pembroke Pointe, The Commons, and Pembroke Place are not managed by the Housing Office at UNCP. Students should contact these properties to discuss their financial arrangements. The Village Apartments are managed by the University and, like the residence halls, financial aid can be used.
Question 9: When do I reclaim my room in Pine Hall?
Pine Hall residents in double rooms do not have the opportunity to reclaim their space. Like the Pine Hall residents before you, the double rooms are designated for new students. Pine Hall residents wanting to reside on campus next year should know that the department is confident that you can obtain an assignment in either Oak Hall or the Village Apartments. The layout of the rooms and suites in Oak Hall are similar to the layouts in Pine Hall. To learn more about the Village Apartments and view a unit, three “Open House” dates have been scheduled for your convenience. Students interested in an “Open House” should contact the Village staff at the Community Building between 3-5pm on the following days:
Students in single rooms in Pine Hall reclaim Monday, March 9-Wednesday, March 11. The day and time will be announced/posted by your Resident Administrator.
Question 10: How can I get into Oak Hall or Village Apartments?
There are two ways. If you know someone in these facilities you may reclaim with them if their roommates are not returning and the space is available. You should attend with them when they reclaim. If you do not know anyone in these facilities or the space in their room is not available, you can go through the lottery.
Question 11: When is the lottery?
The lottery is in two steps. On Thursday, March 26 from 10am-3pm, a student randomly draws a number which determines the order in which they may request on-campus housing. The drawing is based on academic classification and is held in the University Center beside the information booth. On Monday, March 30, students who selected a number will select in numerical order beginning as follows in the UC Annex, Assembly Room:

Question 12: Can I reclaim and also go through the lottery?
You can not reclaim and then participate in the lottery. This is so an accurate inventory of rooms is available in which students can select. Also, the staff will not have to perform unnecessary work making an assignment during the reclaiming process, spending time to cancel the assignment and then assisting with the assignment during the lottery.
Question 12: Do we have to pay the $150 deposit again?
Current residential students DO NOT have to submit another housing deposit.
Question 13: I do not currently live on campus but want to return. Can I go through the room reservation procedure?
You must become an “established residential student” to participate. To become an “established residential student” you must completed a Housing Agreement/Application and submit the $150 deposit at least one week prior to the beginning of the reclaiming process.
Question 14: What are the housing fees for 2009-2010?
Your Resident Administrator has a copy of the proposed fees for next year. A copy may also be obtained in the main office in the UC Annex located on the second floor. The fees have not been approved by the Board of Governors but are expected to be endorsed soon. Once the fees are approved, they will be posted on the web page.
